Managing event waitlists

Events

How waitlists work for your events, including approval flows and how payments are held.

A waitlist kicks in when an event is full or when you require approval. Signups are queued in the order they arrive.

Payments on paid events

For approval-required paid events, we hold the payment on the attendee's card instead of charging it. The hold is captured when you approve, and cancelled if you decline or remove the attendee.

Holds are valid for 7 days. If you don't review the registration within that window, the hold expires and the funds are released back to the attendee's card — they'll need to sign up again. We notify them by email when this happens, but try to review within 7 days so attendees aren't bounced out.

Promotion

  • Approval required → you promote attendees manually.
  • Capacity-only (no approval) → the next person on the waitlist is promoted automatically when a spot opens.
